J&TJ DKOperations

 

This policy outlines the guidelines and procedures for providing mobile phones and laptops toemployees within JOE & THE JUICE (J&TJ) DK Operations for work-related use. The goal is to ensure efficient, secure, and responsible management ofcompany devices.

 

Effective Date: June 2025. Thispolicy will be reviewed and updated as necessary to align with company needs,product offerings, and applicable laws.

 

Eligible Employees:

This policy definesthe criteria for company-paid mobile phones and laptops. These devices areconsidered essential work tools and remain the property of J&TJ.

 

Employee Groups

Eligibility isdetermined during the hiring process. If a device becomes necessary duringemployment, it must be approved by the employee’s direct manager and theirmanager.

 

Device Selection:

By default, employeesare provided with an Apple iPhone, and Windows-based laptop. However, they maychoose an Android phone instead, based on personal preference and subject toavailability and IT approval.

All laptops providedare Windows-based, and no alternative platforms are currently offered.

 

Wear and Tear

The replacement ofcompany-issued devices is subject to a minimum wear and tear period:

 

·      Phones: Minimum of 3 years before beingeligible for replacement.

·      Laptops: Minimum of 5 years before beingeligible for replacement.

·      Damaged Equipment: If equipment is damaged due tonegligence or lack of proper care, the company will cover one repair within thestandard wear and tear period. Any additional repairs under similarcircumstances will be the responsibility of the employee.

 

Early replacement mayonly be requested in cases of documented technical failure or hardware defect,and requires approval by both the employee’s direct manager and their manager.Replacements will not be approved based on cosmetic issues or user preference.

 

Additional Equipment

 

·      The company provides necessary accessories requiredfor professional use.

·      The scope of additional equipment must be defined andapproved by the employee’s manager and their manager.

·      Reimbursement for privately purchased equipment or useof company card without prior written approval is not permitted.

 

 

General Terms

 

•     Multimedia Taxation: In accordance with Danish tax law,company-provided phones or subscriptions may be subject to multimedia taxation.

•     The company reserves the right to amend or discontinuethis policy with notice.

•     This policy supersedes all prior device agreements orarrangements.

 

Confidentiality andSecurity

Employees arerequired to follow all company policies regarding data protection andconfidentiality. In the event of a lost or stolen device, employees mustimmediately report the incident via the FlexBuy Employee Portal andinform the IT Department.

 

Device Enrollment andManagement (Apple Devices)

All Apple devicesprovided by the company must be enrolled in J&TJ’s mobile device managementplatform (Hexnode) for security and compliance.

 

·      Devices are first delivered to IT for enrollment andsetup.

·      Enrollment allows secure remote management of thedevice in case of theft or breach.

·      The company does not interfere with personal use butenforces basic security measures to protect company data.

 

Device Privacy

J&TJ cannotaccess private content on enrolled devices. Only device specifications such asmodel, OS version, and installed security settings are visible toadministrators. For more details, refer to Hexnode’s privacy statement:

Termination or RoleChanges

All employees arerequired to return company-issued devices (including but not limited to phonesand laptops) upon termination of employment or in the event of significantchanges to their job responsibilities. Failure to return the assigned device(s)or returning a device that does not match the issued model, may result in theemployee being charged for the replacement cost.
