This policy outlines the guidelines and procedures for providing mobile phones and laptops to employees within JOE & THE JUICE (J&TJ) DK Operations for work-related use. The goal is to ensure efficient, secure, and responsible management of company devices.

 

Effective Date:

July 2025. This policy will be reviewed and updated as necessary to align with company needs, product offerings, and applicable laws.

 

Eligible Employees:

This policy defines the criteria for company-paid phones and laptops. These devices are considered essential work tools and remain the property of J&TJ.

 

Employee Groups:

Eligibility is determined during the hiring process. If a device becomes necessary during employment, it must be approved by the employee’s direct manager and their manager.

 

Device Selection:

By default, employees are provided with an Apple iPhone, and Windows-based laptop. However, they may choose an Android phone instead, based on personal preference and subject to availability and IT approval.

All laptops provided are Windows-based, and no alternative platforms are currently offered.

 

Wear and Tear

The replacement of company-issued devices is subject to a minimum wear and tear period:

•     Phones: Minimum of 3 years before being eligible for replacement.

•     Laptops: Minimum of 5 years before being eligible for replacement.

•     Damaged Equipment: If equipment is damaged due to negligence or lack of proper care, the company will cover one repair within the standard wear and tear period. Any additional repairs under similar circumstances will be the responsibility of the employee.

 

Early replacement may only be requested in cases of documented technical failure or hardware defect, and requires approval by both the employee’s direct manager and their manager. Replacements will not be approved based on cosmetic issues or user preference.

 

Additional Equipment

•     The company provides necessary accessories required for professional use.

•     The scope of additional equipment must be defined and approved by the employee’s manager and their manager.

•     Reimbursement for privately purchased equipment or use of company card without prior written approval is not permitted.

 

 

General Terms

•     Multimedia Taxation: In accordance with Danish tax law,company-provided phones or subscriptions may be subject to multimedia taxation.

•    The company reserves the right to amend or discontinuethis policy with notice.

•    This policy supersedes all prior device agreements orarrangements.

 

Confidentiality and Security

Employees are required to follow all company policies regarding data protection and confidentiality. In the event of a lost or stolen device, employees must immediately report the incident via the FlexBuy Employee Portal and inform the IT Department.

 

Device Enrollment and Management (Apple Devices)

All Apple devices provided by the company must be enrolled in J&TJ’s mobile device management platform (Hexnode) for security and compliance.

•     Devices are first delivered to IT for enrollment and setup.

•     Enrollment allows secure remote management of the device in case of theft or breach.

•     The company does not interfere with personal use but enforces basic security measures to protect company data.

 

Device Privacy

J&TJ cannot access private content on enrolled devices. Only device specifications such as model, OS version, and installed security settings are visible to administrators. For more details, refer to Hexnode’s privacy statement:

Termination or Role Changes

All employees are required to return company-issued devices (including but not limited to phones and laptops) upon termination of employment or in the event of significant changes to their job responsibilities. Failure to return the assigned device(s) or returning a device that does not match the issued model, may result in the employee being charged for the replacement cost.
